# Privacy Policy

This Privacy Policy explains what information our internal bookkeeping software (“the App”) collects, how it uses that information, and the third parties involved. The App is operated by Ai-Peptides solely for its own internal accounting and bookkeeping. It is not offered to the public.
## What the App does
The App ingests business documents that Ai-Peptides receives (invoices, purchase orders, receipts, payment remittances). It extracts structured data from each document, stores a reviewable copy in our internal review queue, and, on our approval, posts the corresponding accounting entry into our QuickBooks Online company.
## What information the App processes
– Business documents and their content (vendor name, invoice number, dates, line items, totals, currency, taxes, payment method, payment status, notes).
– File attachments of the original document.
– Metadata such as the file name and the date the document was received.
The App does not process consumer financial data, personal health information, or personal contact details beyond business contact information that appears on supplier invoices.
## Where information is stored
– **Locally**, on the device that runs the App.
– **Airtable** — our internal review queue.
– **QuickBooks Online** — once a row is approved, the entry is posted to our QuickBooks company.
– **Anthropic API** — document content is sent to Anthropic’s API for the sole purpose of structured data extraction. Anthropic processes the request and returns the extracted data; we do not authorize Anthropic to retain or train on this content.
## Third parties
The App relies on the following services. Each has its own privacy policy that governs how it handles data we send it:
– Anthropic (anthropic.com) — AI-based document extraction.
– Airtable (airtable.com) — review queue.
– Intuit / QuickBooks Online (intuit.com) — accounting system.
– WordPress.com (wordpress.com) — hosts this Privacy Policy page.
We do not sell, rent, or share data processed by the App with any other party.
## Retention
Document records and Airtable rows are retained for as long as required for accounting and tax purposes under applicable law. QuickBooks entries are retained according to our company’s record-keeping policy.
## Security
The App’s credentials (API keys, OAuth tokens) are stored locally and excluded from version control. Communication with all third-party services is over HTTPS. Access to the App is limited to authorized Ai-Peptides personnel.
## Your rights
Because the App processes only business documents that Ai-Peptides itself owns or has received in the ordinary course of business, there are typically no individual data subjects with rights under this policy. If you believe you appear in records the App processes and you wish to make a data request, contact virgil@ai-peptides.com.
## Changes
We may update this Privacy Policy from time to time. The “Effective date” above will reflect the most recent revision.
